This Privacy Policy describes how InHouse Test Prep ("we," "us," "our") collects, uses, and shares information about you when you use our scheduling portal and client management system at inhousetestprep.com(the "Service").
InHouse Test Prep is owned and operated by Austin InHouse Test Prep, LLC, a Texas-registered limited liability company operated remotely from Hawaii, United States. Contact: info@inhousetestprep.com.
1. Who this policy applies to
The Service is used by three types of people:
- Parents and guardians of students enrolled in test preparation tutoring with Dr. Kelly Frindell.
- Students age 13 and older whose parents have enabled portal access for them.
- Dr. Kelly Frindell as the sole administrator.
Children under the age of 13 do not have accounts on the Service. We do not knowingly collect personal information from anyone under 13. Parents or guardians manage all information related to children under 13 on their behalf.
2. Information we collect
Information you give us
- Account information. Name, email address, phone number, mailing address, and timezone of each parent and student. Date of birth for students (used to determine portal eligibility and grade level).
- Test preparation information. The standardized tests your student is preparing for, school information, target grade level, and goals.
- Score history. Practice test and official test scores you share with Dr. Kelly or that Dr. Kelly logs during sessions.
- Session content. Notes Dr. Kelly takes during or after tutoring sessions, homework assignments, and follow-up plans.
- Payment information. When you purchase a package, our payment processor (Stripe) collects your payment method. We do not store full credit card numbers — only a token and the last four digits of the card.
- Communications. Messages you send through the in-app messaging system, SMS replies, and emails to info@inhousetestprep.com.
Information collected automatically
- Session activity. When you sign in, what pages you visit, when you book or cancel sessions, the IP address of your request, and the type of device and browser you use.
- Calendar availability.When Dr. Kelly connects her Google Calendar (see §4 below), the Service reads "free/busy" times from her calendar so it can offer accurate booking availability to families.
3. How we use information
We use the information we collect to:
- Provide the scheduling, billing, and tutoring services you signed up for.
- Send you reminders about upcoming sessions, confirmations of bookings or cancellations, score updates, and other transactional messages.
- Process payments for packages and individual sessions.
- Maintain records of your account and tutoring history for as long as you are a client.
- Respond to questions or support requests, and improve the Service.
- Comply with legal obligations and enforce our Terms of Service.
We do not use your information to serve advertisements, and we do not sell your information.
4. Google API data — Limited Use disclosure
The Service connects to Dr. Kelly's Google Calendar so she can offer accurate booking times and so tutoring sessions automatically appear on her calendar. To do this we request the following Google API scopes from Dr. Kelly only (clients and students never grant these scopes):
https://www.googleapis.com/auth/calendar.readonly— Used to read "busy" times on Dr. Kelly's calendar so the Service can prevent families from booking over existing commitments.https://www.googleapis.com/auth/calendar.events— Used to create, update, and cancel calendar events for tutoring sessions Dr. Kelly schedules through the Service.https://www.googleapis.com/auth/gmail.send— Used to send transactional emails (invites, welcome emails, password resets, reschedule confirmations) from Dr. Kelly's Workspace account so they arrive from a trusted, branded sender.
InHouse Test Prep's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically:
- We use Google user data only to provide and improve the features described above, which are visible in the user interface of the Service.
- We do not transfer Google user data to third parties except as necessary to provide the Service, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to the user.
- We do not use Google user data for serving advertisements, including retargeting, personalized, or interest-based advertising.
- We do not allow humans to read Google user data unless we have your explicit consent for specific messages, doing so is necessary for security purposes, to comply with applicable law, or the data has been aggregated and anonymized for internal operations.
5. How we share information
We share information with a limited set of service providers who process data on our behalf to operate the Service: Vercel (hosting), Supabase (database + storage), Stripe (payments), Twilio (SMS), Google (calendar + email), Anthropic (optional AI assistance for Dr. Kelly's session notes), and Instatus (status page).
We may also share information when required by law (subpoena, court order), to protect rights or safety, or in connection with a sale, merger, or transfer of our business.
6. How long we keep information
- Account information — retained as long as your account is active.
- Session history, scores, and notes — retained for the duration of the tutoring relationship plus a reasonable archival period after the last activity.
- Payment records — retained as required by applicable tax and accounting law (generally seven years in the U.S.).
You may request deletion of your account and associated data by emailing info@inhousetestprep.com. Some records may be retained as required by law.
7. Your choices and rights
- Access and correction. View and update your account information from your portal at any time.
- Communication preferences. Transactional messages are required for the Service to work. Opt out of non-essential messages from your account settings or reply STOP to SMS.
- Deletion. Email info@inhousetestprep.com.
- State-specific rights. Residents of California, Colorado, Connecticut, Virginia, Utah, and other states with comprehensive privacy laws may have additional rights. Email us to exercise these rights.
8. Security
We use industry-standard technical and organizational measures including encryption in transit (TLS) everywhere, encryption at rest in our database, two-factor authentication required for the administrator account, and row-level access controls so one family's data is never visible to another family.
9. International users
The Service is operated from the United States. If you use the Service from outside the United States, your information will be transferred to, stored, and processed in the United States.
10. Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify you by email and update the effective date at the top of this page.
